Who we’re looking for
We are seeking an experienced Business Operations Manager for a 14-month contract (Mat Leave Coverage). The ideal candidate will be responsible for managing various business operations tasks including audit/compliance activities, policy creation and maintenance, access management, onboarding, and general operational support. The role involves ongoing coordination and collaboration with internal and external teams and clients to ensure seamless operations and process optimization.
Responsibilities
Audit/Compliance Activities:
- TISAX audit activities: Q3 Audit
- ISO 27001 audit activities: Q4 Audit
- Run organizational risk assessments and risk reviews on a quarterly basis
- Maintenance of existing policies and creation of new policies as required (in coordination with other RED subject matter experts)
- Development and maintenance of additional documentation, procedures, best practices, etc
- Coordination of Annual Employee Policy Review
- Development, planning and documentation of Business Continuity Tests
- Support Annual Vendor Assessments
- Support Security Awareness Training Program
- Support on configuration of Performance Review process and workflow
- Coordination of Annual Vendor Contract Reviews
Access Management:
- Management and fulfillment of access requests via Jira service desk portal
- Evaluating requests for new tooling and software
- Process alignment and coordination with internal, vendor and client teams on access topics
- Creation and maintenance of supporting agreements and documentation (i.e. user access agreements)
- Coordination of Quarterly Access Reviews
Product Increment Planning & Support:
We follow agile development processes tied closely to SAFe which defines the quarterly planning process for our deliverables.
- Planning and logistical support for quarterly PI Planning
- Ongoing review and optimization of processes and documentation
- Facilitating retrospective sessions with teams and clients to gather and share feedback, resolve roadblocks, etc
- Provide general support and escalation
Business Operations (Combine Onboarding, general Ops support)
- Operational onboarding of new employees to RED tooling and processes
- Coordination of onboarding schedule and activities
- Creation and maintenance of core onboarding documentation
- Provide general support and troubleshooting
- Administration of software/tooling (i.e. Atlassian, MS365, Figma)
- Administration and management of Jira Service Desk Portal
- Facilitating monthly connects with vendor Operations teams on shared topics (Processes, Compliance, Access, IT, Office Logistics, etc.)
- Creation and administration of shared calendars (i.e. team vacation calendar, etc.)
- Misc. logistical support (i.e. Facilitating WiFi guest codes, office logistics, etc.)
Requirements
- 3-5 years of experience in an Operations role or similar
- Proven experience in business operations, access management, and audit/compliance activities (i.e. ISO 27001, TISAX, SOC2 T2, or similar)
- Strong proficiency in MS365 (SharePoint), Atlassian (Confluence, Jira), and other relevant tools
- Nice to have: admin-level experience configuring and managing these tools for an organization
- Project management background, with an understanding of prevailing PM practices and workflows
- Exceptional analytical and problem-solving skills with the ability to proactively identify process inefficiencies or gaps and propose solutions
- Exceptional organizational and problem-solving skills to handle multiple initiatives concurrently
- Solution-oriented and entrepreneurial spirit
- Excellent interpersonal and communication skills to effectively collaborate with cross functional teams, internal stakeholders and clients
Nice to Have
- Technical knowledge in a software delivery organization, and an understanding of agile methodologies and workflows
- Understanding of resource management
