The Black Screen Office (BSO) is dedicated to amplifying Black stories and voices in the film and television industry. We are committed to fostering diversity, equity, and inclusion within the screen industries and creating opportunities for Black creatives.
We are seeking a dynamic and detail-oriented Operations Manager to oversee our financial operations, support resource development, manage human resources, coordinate projects, and supervise volunteers and interns. This role is crucial in ensuring the smooth and efficient functioning of the BSO.
Financial Management:
- Prepare annual budgets and monitor financial performance against targets in collaboration with relevant staff members and consultants.
- Update forecasts cash-flows, and financial folders on a monthly basis
- Process payments, collect invoices and receipts, and oversee accounting functions.
- Prepare financial reports and provide insights to support strategic decision-making.
- Review and approve expense and reimbursement claims as required.
- Ensure compliance with financial regulations and policies.
- Work with the Finance Committee and external consultant.
Resource Development Support:
- Assist with funding proposals, including research, managing deadlines, and compiling required documents.
- Research new and existing funding programs to identify potential opportunities.
Human Resources Oversight:
- Assist with recruitment, onboarding, and training of new employees.
- Maintain accurate employee records and coordinate payroll processing.
- Handle employee inquiries related to HR policies, benefits, and workplace issues.
- Oversee performance management and employee engagement initiatives.
Project Coordination and Administration:
- Prepare agendas, reports, and other materials for meetings as required.
- Coordinate logistics for meetings, ensuring all support material is distributed in advance.
- Take minutes during meetings and follow up on action items, as needed.
- Coordinate French-language translation, providing translation services when necessary.
Volunteer and Intern Oversight:
- Oversee volunteers and interns, providing guidance and support in their roles.
Logistics and Office Management:
- Coordinate incoming and outgoing mail, shipping, and receiving.
- Ensure office supplies are stocked and equipment is well-maintained.
Project Deliverables and Agreement Management:
- Coordinate/manage project deliverables, including reading agreements and ensuring adherence to deadlines.
