Reporting to the Supervisor, Front of House Services in the Culture Venue and Events Section, the role is responsible for supporting the delivery of venue services events at Living Arts Centre, Paramount Fine Foods Centre, Meadowvale Theatre and Small Arms Inspection Building and Celebration Square. This position requires superior customer service, strong attention to detail, organization, and administrative support. This role supports the Venue and Event Services team to achieve client satisfaction and operational excellence.
- Provides essential administrative support encompassing payment coordination and processing invoices, ordering supplies, ordering uniforms, maintain part time work station requirements, taking meeting minutes, maintaining filing systems and event calendars
- Engages in regular correspondence with third party suppliers and other departments
- Ensures consistency in event documents like part time staffing and manager-on-call schedules, training documents and venue guidelines and standard operating procedures
- Is responsible for the bi-weekly staff payroll input for the Event and Venue Services team
- Develops and maintains event-tracking spreadsheets and lost and found procedures
- Cultivates and fosters relationships with essential internal stakeholders, including Venue Supervisors, Front of House, Operations, Custodial, etc.
- Delivers on-site and in-office event support as necessary
- Develop and maintain event knowledge base for 311
- Performs other duties as required including supporting onsite during events
- 1-2 years experience in event coordination or administrative support in live entertainment event venues – both in-office planning and on-site execution
- Post-secondary education in Events or Arts Administration or Office Administration
- Strong customer service skills with a sense of urgency and sensitivity in correspondence
- Excellent time management, organizational, and interpersonal skills in a fast-paced, team-oriented environment; ability to prioritize and attention to detail
- Proficiency in multitasking with a solution-oriented mindset and flexibility; excellent written and oral communication skills
- Technical competence in Word, Excel, PowerPoint, and Outlook; experience with event management software is an asset
- Proactive approach with the ability to work independently and in a team
- CPR and First Aid and Smart Serve training
- Must be available to work occasional evenings, weekends, statutory holidays, and shifts up to 13 hours during on-site events
Hourly Rate/Salary: $51,800.00 - $69,067.00
