We’re looking for an
Office Coordinator to manage the Axonify office space in Toronto to ensure the smooth and efficient operation of the Office. As a key member of the People and Culture team, this role aims to create and implement an unforgettable experience for our in-office Axonifiers, looking at everything we do through the lens of fostering inclusion and belonging in the workplace.
The role is based on site in Toronto and would also liaise with various teams at that location.
The impact you'll have:
- Office Management: Manage and report on office capacity through Robin Powered (Tool), support as the onsite contact for all facility-related matters, perform daily walk-through checks of the office to ensure safety and maintenance, daily checks of all workstations, meeting rooms, and related technology, execute on projects related to inventory and process improvements, maintain records of keys/security credentials relating to premises and control access, plan and maintain beverages and snacks, maintain seating design and prepare desks for seating arrangements, update office décor as appropriate, ensure space is clean, clutter-free and stocked with necessary supplies, liaise with the IT team to provide a seamless office experience utilizing all in office technology, responsible for inventory and general maintenance tasks of IT onsite
- Office Safety: Act as on-site First Aid attendant, act as on-site health and safety subject matter expert, participate in Health & Safety Committee, ensure office remains a safe space by doing daily checks and making updates
- Office Administration: Responsible for in-office expense reporting and regular budgeting updates, provide and manage office supplies, coordinate travel & transportation details for Axonifers, manage all incoming office deliveries/mail and outgoing mail/shipments
- Event Management: Execution of company lunches and departments as needed for event coordination, support execution of various employee programs as part of the Employee Experience Team, facilitation of in-office social initiatives
- Employee Experience: Assist with employee onboarding processes, coordinate and execute on all employer award initiatives, support the writing and editing of internal employee communications, contribute to the design and execution of office-based employee experience initiatives, support execution of various employee programs, participate in planning year-round employee experience strategies
The things you bring:
- 2+ years of direct experience in facilities/office/store management
- Proven experience as an Office Manager, Front Office Manager, Retail Store Manager or Administrative Assistant
- Excellent time management skills and ability to multi-task and prioritize work
- Knowledge of office administrator responsibilities, systems and procedures
- Advanced knowledge in MS Word, Excel, Outlook and PowerPoint is a must, along with strong analytical abilities
- Demonstrated problem-solving techniques and initiative to find solutions
- Must be extremely organized, work well under deadlines and have excellent verbal and written communication skills
- A creative mind with an ability to suggest improvements and strong attention to detail
- Physical Requirements: While performing the duties of this job, you may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and ability to operate a computer and keyboard. Regular lifting, moving, and storing of inventory up to 20 lbs is required. Occasional assistance in moving office furniture to support event set up will be required in this role

Your main work location will be at our Toronto, ON office, currently located at 450 Adelaide Street West (‘the office’).
