Provides customer service to the public and stakeholders for camera-based offences, including automated speed enforcement and red light camera charges. Provides administrative support to the screening officer team, including processing payments. Documents and records data-related communications with those in contravention, in the case management system.
- Provides customer service directly to the public, which includes responding to questions from contraveners, other members of the public, and other staff by telephone, online, or in writing. Takes messages and forwards urgent requests.
- Monitors and maintains the program’s inbox by independently responding to inquiries from the public, contraveners, and other stakeholders and escalating as appropriate. Actions correspondence and applications electronically and by regular mail.
- Communicates using a variety of conflict resolution strategies and acts with integrity and honesty to ensure procedural fairness.
- Processes fine payments by telephone or mail, including entering, posting, and balancing/ reconciling to the case management system. Delivers screening and hearing decisions to contraveners.
- Uses technology (e.g., Power BI) to connect to data sources and manipulate data to provide reports to management.
- Prepares and maintains forms, reports, memos, agendas, minutes, letters, and templates. Assists to copy, prepare, and update training and group materials. Assists to set up meetings and events.
- Troubleshoots problems with computers, office equipment, case management system, and requests technical service and support when appropriate.
- Schedules and sets up meeting rooms for in-person screening and hearing meetings.
- Updates external website and maintains external telephone messaging system.
- Collects and enters information to municipal databases and reviews information for completeness, based on established criteria. Gathers and distributes information from external/internal databases and information sources to support program operations. Forwards to government ministries as appropriate.
- Collects and reports data from multiple sources for program reporting as required by municipal and provincial programs.
- Supports the management team by collecting and reporting data from the case management system for program reporting required by area municipalities and various Ministries.
- Provides training and instructions on office procedures and work processes to new and less experienced staff and students.
- Consults with management for issues and decisions outside established procedures.
- Provides administrative support, including requesting office supplies and forms, distributing/stocking supplies, and maintaining information resources.
- Performs related duties as assigned.
Knowledge, Skills, and Abilities
- Knowledge and skills in office procedures and client service are acquired through a grade 12 education plus 3 years of related experience. An equivalent combination of education and experience will be considered.
- Knowledge of and ability to comply with policies, procedures, and related legislation (e.g., accessibility, privacy and freedom of information).
- Ability to use proper legal terms in clear, concise language to communicate and write notes, standard and customized letters, instructions, and maintain accurate records and program information. Ability to read and understand policies, procedures, and instructions.
- Ability to perform work accurately and meet deadlines.
- Communication and customer skills, and ability to participate as an effective team member.
- Computer skills with ability to use software such as Microsoft Office, municipal case management system, Power BI, and the internet.
- Must provide an acceptable police records check for bondability and cash handling.
- Ability to support and demonstrate the Region’s values.
