We are looking for an Executive Assistant to the CEO who would be excited to join a progressive, fun team and help us grow during a critical early phase of the organization’s life.
Reporting to the CEO, you will be responsible for contributing to the effective operation of the organization, assisting the directors, and supporting other staff.
The Executive Assistant is an integral part of the team and is in a position of trust and integrity. The role is responsible for developing intra-office communication protocols, streamlining administrative procedures, managing scheduling, and task delegation.
The Executive Assistant will provide essential support to the CEO and play a key role in facilitating the smooth operation of the Black Screen Office. This role involves a blend of administrative duties, logistical support, and outreach activities, all aimed at enhancing the smooth running of the organization and its impact in the screen-based industry.
Key Responsibilities
- Administrative Support to CEO:
- Manage the CEO’s schedule, coordinate travel arrangements, organize receipts, and assist with presentation preparation.
- Take meeting notes, draft communications, mail merges and provide other administrative assistance as required.
- Public Interaction and Liaison:
- Field inquiries about the BSO’s mandate and services, providing initial responses and directing queries to relevant staff.
- Liaise with industry partners, supporters, and stakeholders, and follow up on requests as needed.
- Meeting, Events, and Project Assistance:
- Create invitations and other lists, and input data into Hubspot according to the approved template.
- Organize, schedule, and provide support for meetings, conferences, and events.
- Set up virtual conferencing or physical meeting spaces, ensuring seamless execution of programming, special events, and BSO initiatives.
- Assist in planning, coordinating, and executing various projects, monitoring timelines and deliverables.
- Presentations Support:
- Assisted in creating compelling and professional videos and slides, as well as report presentations for internal and external use.
- Ensure consistency with the Black Screen Office brand and strategic messaging.
- Office Assistance:
- Oversee incoming and outgoing mail, and handle shipping and receiving tasks.
- Maintain and organize files and documents securely.
- Ensure office common areas, including meeting rooms, are clean and tidy.
- Manage office supplies, snacks, and kitchen inventory, restocking as needed.
- Industry Monitoring and Reporting:
- Stay informed about industry developments and equity-seeking initiatives, and report relevant information to the team.

- Handle sensitive and confidential information with discretion and integrity.
